Fix the lead record before the call script
Every enquiry should have a source, an owner, a contact preference and a next action. Remove duplicates and make the customer's expressed interest visible to the person following up. Keep a clear record of permissions and opt-outs using a process reviewed for your business. Do not start with an indiscriminate contact list. If staff cannot tell why someone is being called, automation will repeat the same confusion at greater scale. A small, well-organised queue is a better trial than importing every old number into a new tool.
Choose a narrow first conversation
Start with a simple purpose such as acknowledging a requested callback, collecting preferred timing or checking which service the person asked about. Keep the script short and give the recipient a clear route to a human. Ask how the system identifies itself and handles a request to stop. Avoid letting a first version negotiate prices, make commitments or answer specialist questions beyond its approved information. The objective is a useful next step in the customer's enquiry, not a long conversation for the sake of a call-duration metric.
Design human handover deliberately
List the situations that require a person: a complaint, an unclear answer, a pricing exception, a sensitive document request or a customer who simply prefers human contact. Decide which team receives the handover and what context accompanies it. A useful summary should contain the stated need and agreed next action without inventing facts. Test ambiguous replies and interrupted conversations. Ask how a failed call is recorded and whether the system can avoid repeated attempts after a recipient asks not to be contacted.
Measure outcomes beyond call volume
Track how many eligible enquiries receive a timely response, how many conversations produce a valid next action and how many handovers are completed. Review incorrect summaries and customer complaints alongside positive outcomes. A large number of dial attempts can hide poor data or an ineffective script. Compare a small pilot with your existing process using the same definitions. Keep recordings or transcripts only under an appropriate policy reviewed for your use case, and limit access to the people who need them for support and quality review.
Define a small set of call outcomes
Use outcomes such as callback requested, information sent, human handover required, wrong number and do not contact. Ask how each outcome changes the next CRM action. A call that ends unexpectedly should not be counted as a successful conversation. Review a sample with the people handling follow-up so they can identify missing context and misleading summaries. Improve the script before increasing the size of the pilot.
Confirm capability and costs before a pilot
BIC's live consultancy page describes calling and follow-up support; this guide does not claim that a particular AI voice stack is already available. Ask the team to confirm languages, CRM integration, call routing, operating limits and human support. Separate setup, ongoing service and usage charges in the quote, with prices before 18% GST. Use a controlled test with approved participants before contacting real leads. Share your enquiry sources, daily volume, languages and current follow-up problem in the form. Do not submit lead lists, recordings or customer contact data in the initial enquiry.
Frequently asked questions
Is a specific AI calling product confirmed here?
No. Ask BIC to confirm current capability, integrations, languages and pricing for your use case before planning a pilot.
What is a sensible first use case?
A narrow follow-up to a requested enquiry, with an approved script, contact preferences and a clear route to a human.
How should success be measured?
Measure timely responses, useful next actions, completed human handovers and error or complaint rates, rather than call volume alone.
